Summary
Directs and coordinates activities relative to creating and administering escrow and deferred exchange accounts in accordance with terms of the account documents. Directs and coordinates activities for booking, maintaining records, and creating reports relative to all special asset holdings.
Essential Duties and Responsibilities:
- Coordinates with Trust Officers (Officer) and Senior Trust Special Asset Advisors (SAA) the opening of deferred exchange and escrow accounts, provides requisite third party information, and prepares account reviews in accordance with bank policy and any applicable laws and regulations.
- Ensures special assets are listed as account holdings and appropriately valued and categorized, provides requisite documentation to trust operations for vault retention, retains and updates applicable computer records, provides and distributes tracking reports, and prepares Special Asset Forms for inclusion as permanent record with annual account reviews.
- Maintains spreadsheets for discretionary spending account allowances in conformance with court orders and assists in annual or special court reporting. Coordinates tracking, reporting and payments of special asset taxes and insurance premiums.
- Directs receipts of account tenants’ rents and security deposits per terms of leases. Maintains rent rolls, corresponds with tenants, and report rent receipts to Officer and SAA.
- Processes and distributes all cash receipts, fees, invoices and statements for deferred exchange and escrow accounts and special asset holdings.
- Orders and distributes all Officer/SAA approved disbursements of funds according to account documents, court orders or client requests in accordance with accepted bank accounting standards. Establishes and monitors special asset related scheduled disbursements.
- Provides deferred exchange and escrow account files and special asset information as requested for audits and exams.
- Attends monthly special asset team meetings for reviewing assets, process improvement, and team building.
- Opens and routes incoming mail, answers correspondence, provides telephone client service, and assists in maintaining office supplies.
- Complies with all applicable federal and state laws and regulations.

Education/Experience
Associate’s degree or equivalent from a two-year college or technical school; and five or more years related experience and/or training; or equivalent combination of education and experience.
